When a new creator joins the team — whether as a full-time employee, freelancer, or short-term collaborator — the onboarding period directly affects the quality of their first pieces of content. A clear checklist reduces repeated questions, reduces errors, and gives new creators the confidence to work independently from day one.
Creator onboarding checklist — foundation section
Day 1: Accounts and access
- [ ] Create a company email / add to shared mailbox
- [ ] Grant access to social media accounts (TikTok, Facebook, Instagram, YouTube) — use sub-accounts or manager roles, never share the main password
- [ ] Add to the collaboration workspace (Notion, Google Workspace, or internal tool)
- [ ] Grant access to the video and asset library (Google Drive or Klypio)
- [ ] Add to internal group chat (Zalo, Slack, or Telegram)
Days 1–2: Brand kit and brand voice
- [ ] Read the Brand Style Guide (logo, colours, fonts, tone of voice)
- [ ] Watch 5–10 previously published videos to understand format and style
- [ ] Receive template pack: thumbnail template, default captions, default hashtags
- [ ] Confirm correct understanding of the audience persona (who is the primary viewer?)
Days 2–3: Content workflow
- [ ] Understand the content calendar: posting frequency, draft submission deadlines, who approves
- [ ] Know the review and feedback process: where to submit, who reviews, how long turnaround takes
- [ ] Understand filming guidelines: minimum camera setup, lighting, and audio requirements
- [ ] Have access to the list of priority topics and keywords for the current month
Days 3–5: First piece of content
- [ ] Produce one test video — no need to publish immediately, just for the team to review the format
- [ ] Receive specific feedback from the lead creator or manager
- [ ] Revise based on feedback
- [ ] Confirm readiness to work independently within the standard workflow
Notes on applying this checklist
- This checklist is a starting template — adjust it to the size and content type of your team
- Assign a specific buddy to each new creator — the checklist does not replace human guidance
- Review and update the checklist quarterly — as your workflow evolves, so should the checklist
