Many creators and content teams download videos and leave them scattered in their Downloads folder — impossible to find, no one knows which clips have been used, and which are still fresh. Notion and Airtable can fix this by turning your video library into a searchable, collaborative database.
Why Sync Your Library to Notion or Airtable?
- Search by tag: Filter clips by topic, source platform, or usage status
- Team collaboration: Everyone sees the library — no more "where's that file?" messages
- Status tracking: Draft / In review / Published / Archived
- Cloud file links: Store Google Drive or Dropbox links for access from anywhere
The Video Library Sync Workflow
Step 1 — Download Videos and Organize Files
Use Klypio to download videos from TikTok, YouTube, Facebook, Instagram, and other platforms. Save into a structured folder: Videos/[Platform]/[Date]-[Slug].

Step 2 — Upload to Cloud Storage
Upload video files to Google Drive, Dropbox, or S3. Get a shareable link for each file — this is the link you'll store in Notion or Airtable.
Step 3 — Create a Database in Notion or Airtable
In Notion:
- Create a Database (Table type)
- Add columns: Title, Platform, Source URL, File Link, Tags, Status, Date Downloaded
- Use a template to add entries quickly
In Airtable:
- Create a new Base → select Table type
- Add fields: Name, Platform (Single select), Source URL, File Attachment or File URL, Tags (Multiple select), Status
- Create views filtered by Platform or Status
Step 4 — Automate With Zapier or Make
If you download videos frequently, use Zapier or Make to automatically add an Airtable entry whenever a new file appears in a Google Drive folder. No manual data entry needed.
Suggested Column Template for Airtable
- Title: Descriptive clip name
- Platform: TikTok / YouTube / Facebook / Instagram...
- Source URL: Original video link
- File URL: Cloud link to downloaded file
