How to Sync Your Video Library to Notion or Airtable

The Video Library Sync Workflow

Step 1 — Download Videos and Organize Files

Step 3 — Create a Database in Notion or Airtable

In Notion:

  1. Create a Database (Table type)
  2. Add columns: Title, Platform, Source URL, File Link, Tags, Status, Date Downloaded
  3. Use a template to add entries quickly

In Airtable:

  1. Create a new Base → select Table type
  2. Add fields: Name, Platform (Single select), Source URL, File Attachment or File URL, Tags (Multiple select), Status
  3. Create views filtered by Platform or Status

Step 4 — Automate With Zapier or Make

If you download videos frequently, use Zapier or Make to automatically add an Airtable entry whenever a new file appears in a Google Drive folder. No manual data entry needed.

  • Title: Descriptive clip name
  • Platform: TikTok / YouTube / Facebook / Instagram...
  • Source URL: Original video link
  • File URL: Cloud link to downloaded file
  • Status: Downloaded / Edited / Published / Archived

  • Date: Download date
