How to Build a Slack/Discord Bot for Video Team Collab

Build a Slack or Discord bot to automate your video team workflow — deadline reminders, asset sharing, content approval. Step-by-step guide, no coding required.

Running a distributed video team on Discord or Slack? Bots can help your team never miss a deadline, get notified when new videos are ready, and simplify content approval — no complex coding required.

Why use a bot for video team collaboration?

  • Automatic deadline reminders — no one has to remember to manually ping the team
  • Notifications when a new video is uploaded or needs review
  • Share asset links (raw video, thumbnails, scripts) in the right channel automatically
  • Log work history to track progress over time

Option 1 — Zapier/Make (no code required)

The easiest approach for non-developers:

  1. Create a Zapier account (has a free tier) or Make account (Make has a more generous free tier)
  2. Create a "Zap" or "Scenario" connecting your data source to Slack/Discord
  3. Example workflow: Google Drive (new video upload) → Discord bot posts notification in #video-review channel
  4. Another example: Google Sheets (task deadlines) → Slack bot sends a daily 9am reminder

No coding needed — just drag, drop, and fill in forms.

Option 2 — Discord bots (MEE6 or Carl-bot)

If your team uses Discord, pre-built bots like MEE6 or Carl-bot can:

  • Send scheduled notifications on a set schedule
  • Create role-based notifications (only tag the relevant people)
  • Manage channel permissions per workflow stage

Go to the Discord Developer Portal → add MEE6/Carl-bot → configure in their dashboard. No coding required.

Option 3 — Slack Workflow Builder

Slack has a built-in Workflow Builder (free plan is limited; paid plans expand it):

  • Create a daily standup reminder: "Which video are you editing? What's your deadline today?"
  • Build a form for editors to submit when a video is ready to review
  • Automatically post to a channel when the form is submitted

Sample workflow for a 3-person video team

  1. Editor uploads raw video → Zapier detects new file in Drive → Discord bot posts link in #video-raw
  2. Editor tags @reviewer in Discord → reviewer gets notified
  3. Reviewer approves → posts in #approved → Scheduler picks it up and queues for publishing
  4. After publishing: bot posts the live video link in #published for the team to track
