You've used background music in dozens of videos but can't remember which tracks allow commercial use and which are personal-only. Then one day YouTube Content ID flags your most popular video — and that's when you wish you'd kept a proper license log from the start.
Important note: This template is for reference. For large commercial projects, consult a lawyer with copyright expertise.
Why you need a music license tracking template
As your video output grows, remembering every track you've used becomes impossible. A template lets you:
- Know instantly which tracks allow commercial use (YouTube monetization, paid ads)
- Avoid reusing tracks with expired licenses
- Have evidence if you receive a wrongful claim
- Onboard new team members faster
Fields to include in your template
A basic music license tracking spreadsheet should include at minimum:
| Field | Description |
|---|---|
| Track name | Song title + artist name |
| Source / Platform | Epidemix Sound, Artlist, Pixabay, YouTube Audio Library… |
| License type | Royalty-free, CC0, CC-BY, Commercial, Non-commercial |
| Approved uses | YouTube, TikTok, Facebook Ads, Podcast… |
| License expiry | Perpetual / expiry date if applicable |
| Source link | URL of the download page or license page |
| Proof file | Screenshot or PDF of license confirmation |
| Date added | When you acquired the license |
How to use your template effectively
Use Google Sheets for team sharing
Create a sheet in Google Drive and share edit access with your team. Every time someone uses a new track, add it immediately — don't let it pile up, you will forget.
Link tracks back to specific videos
Add a column for "videos using this track" so you can look up in reverse — no need to open individual files to check which videos use which music.
Save license screenshots
Platforms change their terms over time. Screenshot the license page when you download and save it to Google Drive — this is the evidence you'll need if you ever get claimed.
